Pipedrive to Data Studio: how to connect your CRM, what it costs and how to get pipeline numbers right

Moving Pipedrive to Data Studio always needs a partner connector, a Google Sheet, a database or a CSV export, because Google ships no native Pipedrive connector. This guide is for founders and sales leaders who want deals, stages and won revenue in the same report as Google Ads, GA4 or finance data. I compare the four routes with prices checked in October 2026, explain how Pipedrive's API token budget affects live reports, and show the data model fixes that stop deal totals drifting from what Pipedrive shows.

Sales pipeline dashboard in Data Studio built on Pipedrive deal and stage data

Quick answer

How do I connect Pipedrive to Data Studio?

Data Studio has no native Pipedrive connector, so you connect through a partner connector such as Windsor.ai, a Sheets sync such as Coupler.io or the Sheetsyncers app, a scheduled load into BigQuery or another database, or manual CSV exports. Partner connectors are quickest to set up; a Sheet or BigQuery table gives you control over stage history and definitions.

  • Google has confirmed there is no native Pipedrive connector, so every route uses a third party or a pipeline.
  • Entry prices run from free to about $32 a month, rising with refresh speed and account count.
  • Pipedrive meters its API with a daily token budget shared by every integration on the account.
  • Wrong deal totals usually come from pipelines, currencies and stage history, not from the connector.
01

Does Data Studio have a Pipedrive connector?

No. Google's own developer forum answered this directly when a user asked how to integrate Pipedrive: there is not currently a Pipedrive connector, and the suggested workarounds were a custom API integration, a Google Sheets export, or a third-party connector, plus a feature request to Google.

Data Studio's native connectors cover Google products and databases: GA4, Google Ads, Search Console, Sheets, BigQuery, YouTube, Campaign Manager 360, Display and Video 360, Ad Manager, Cloud SQL, MySQL, PostgreSQL, SQL Server and Redshift. The April 2026 change that renamed Looker Studio back to Data Studio moved every report across automatically but did not add CRM connectors. So any Pipedrive report either queries Pipedrive through a partner connector, or reads a copy of Pipedrive data that lives in a Sheet or a database Data Studio already supports.

That copy is not a weakness. For sales reporting it is often the better design, because it lets you store stage history and fixed definitions that a live query cannot give you.

02

What are the four ways to get Pipedrive data into Data Studio?

The routes differ in how fresh the data is, how much it costs per month, and how much control you have over what one row means. Pick the one that matches the questions the report must answer, not the one with the quickest demo.

A partner connector appears in the Data Studio connector gallery and returns Pipedrive fields directly to your charts. Windsor.ai, for example, says its Pipedrive connector exposes 41 metrics and 184 dimensions. A Sheets sync writes deals, persons, organizations, activities or products into a Google Sheet on a schedule; Pipedrive's marketplace lists Sheetsyncers as an app for this, and Coupler.io and the Pipedrive Bulk Importer/Exporter add-on do the same from the Google side. A database route lands Pipedrive objects in BigQuery, PostgreSQL or MySQL through an ETL tool or a small script against the Pipedrive API. A CSV route is a manual export from a Pipedrive list view, uploaded to Sheets.

03

How much does a Pipedrive to Data Studio connection cost?

Expect anything from free to roughly $32 a month for one Pipedrive account on a daily refresh, with hourly and 15-minute refresh costing several times more. The prices below come from each vendor's own pricing page, read in October 2026. They change often, so check before you buy.

Data Studio itself adds nothing to this bill. Building and viewing reports is free, and Data Studio Pro, at $9 per user per project per month, is only needed if you want team workspaces, organization-owned content or alerts. Report viewers never need a Pro licence or a Pipedrive seat when the data source uses owner's credentials.

How do Pipedrive API limits affect a Data Studio report?

Pipedrive meters API use with a daily token budget, and every integration on your account draws from the same pool. A live connector that runs Pipedrive queries each time someone opens or filters the report spends tokens your email sync, form tools and automations also need.

Pipedrive's developer documentation (updated September 17, 2026) sets the daily budget as 30,000 base tokens multiplied by a plan multiplier and by the number of seats. The multipliers are 1 for Lite, 2 for Growth, 5 for Premium and 7 for Ultimate. Each call costs tokens by type: the same page lists 2 tokens to get a single record, 20 to get a list and 40 for a search. There are also burst limits per 2 seconds: with an API token, 20 requests on Lite, 40 on Growth, 100 on Premium and 120 on Ultimate; OAuth apps get four times that. Search is capped at 10 requests per 2 seconds on every plan.

A worked example: a 5-seat team on Growth gets 30,000 x 2 x 5 = 300,000 tokens a day. That sounds generous, but a connector that pulls deals in pages, then fetches each deal's flow to rebuild stage history, multiplies calls quickly, and the search cap of 10 requests per 2 seconds is easy to hit if a tool looks records up one by one. On Lite, the same 5 seats get 150,000 tokens and only 20 requests per 2 seconds.

The fix is the same one I use for GA4 quota errors: stop querying the source on every chart load. Pull Pipedrive once on a schedule into a Sheet or BigQuery, and point Data Studio at that copy. If you stay on a live connector, raise the data freshness interval on the data source, remove duplicate charts that ask for the same fields, and avoid a report where every page runs a different Pipedrive query.

05

Why do Pipedrive deal totals look wrong in Data Studio?

Because Pipedrive's data model has several layers that a flat table hides. When numbers disagree with Pipedrive, the connector is rarely broken; the report is usually counting something different. Work through these causes in order.

Almost every fix comes down to one rule: decide what a row means (one deal, one stage change, one activity), build that table once in a Sheet or SQL view, and make every chart read from it. Then reconcile last quarter's won value and won count against a Pipedrive Insights report with the same filters before the dashboard goes to anyone.

  • Several pipelines: a new-business pipeline and a renewals pipeline can both have a Won stage. Filter or group on pipeline_id, or totals combine both.
  • Status versus stage: won and lost deals keep their last stage_id. Use the status field (open, won, lost) for outcomes, not the stage name.
  • Which date: add_time, won_time, lost_time, close_time and expected_close_date answer different questions. Won revenue belongs on won_time; forecast belongs on expected_close_date.
  • Currency: value is stored in each deal's own currency. Multi-currency teams need conversion to one reporting currency before any SUM.
  • Weighted value: weighted_value applies stage probability. Mixing it with value in one scorecard inflates or deflates pipeline silently.
  • Owners: connectors often return owner_id as a number. Add a users lookup so charts show rep names.
  • Deleted and archived deals: tools treat them differently, so totals can differ from Pipedrive's own reports.
06

How do you report on Pipedrive stage history and sales velocity?

You need a table of stage changes, because a deal's current stage only tells you where it sits today. Time in stage, stage-to-stage conversion and sales cycle length all depend on knowing when each move happened.

Pipedrive keeps that history behind two API endpoints: a deal's flow (GET /api/v1/deals/{id}/flow), which lists updates including stage changes, and its changelog (GET /api/v1/deals/{id}/changelog), which lists changes to field values. Most connectors do not expose these by default, and calling them deal by deal is exactly the pattern that spends API tokens fastest.

The approach that holds up is a daily snapshot. Once a day, a scheduled job writes each open deal's id, pipeline, stage, owner, value and status into a BigQuery table partitioned by snapshot date. After a few weeks you can chart pipeline value by stage over time, flag deals with no stage change in 30 days, and measure how long deals sit in each stage, without asking Pipedrive for history at all. For the backfill, call the flow endpoint once per deal, slowly, and never again.

07

What should a Pipedrive sales dashboard in Data Studio show?

Build it around the three conversations a sales team has every week: will we hit the number, where are deals coming from, and what is stuck. A first version usually fits on three pages.

Page one is the forecast: open value by stage and expected close month, weighted pipeline against target, deals won and lost this period, win rate and average days from add_time to won_time. Page two is source quality: deals and won value by lead source or label, ideally beside Google Ads and LinkedIn spend from their own connectors so cost per won deal is visible. Page three is team activity: open deals by owner and stage, activities completed by type, stalled deals, and a deal table with a link back to Pipedrive.

Two Data Studio details help. A calculated field with a CASE statement can map your raw stage names into the three or four buckets leadership uses, so renaming a stage in Pipedrive does not change the board report. And when you need ads and CRM together, remember that blends allow up to 5 sources and equality joins only; join on date and a cleaned campaign or source key, or do the join in BigQuery.

Projects I've led at Greenwolf Tech Labs include marketing dashboards in Data Studio that bring multi-channel spend, leads and return across Google Ads, Meta, LinkedIn, GA4 and Search Console into one view. Pipedrive deals are the step that turns those leads into revenue.

08

Is Pipedrive Insights enough, or do you need Data Studio?

If Pipedrive is your only system and everyone who needs the numbers already has a seat, Insights is usually enough. Pipedrive's help center lists reporting on deals, leads, activities, campaigns, contacts, projects and revenue forecasts, and on Premium and higher plans you can create additional dashboards and build reports on custom fields.

Data Studio earns its place when one of these is true: the report must combine Pipedrive with ad spend, GA4, invoices or product data; people who need it, such as investors or a finance lead, do not have Pipedrive seats; your plan does not allow the custom-field reports you need; or you want history and fixed definitions that survive changes to pipelines and stages.

Weak reasons are a preference for a different chart style, or copying an Insights dashboard that already works. Moving data out of Pipedrive adds a connector, a model and an ongoing cost, so take it on for a business reason.

09

How do you connect Pipedrive to Data Studio step by step?

The connection itself takes minutes. The steps around it decide whether the report still works and still matches Pipedrive six months later.

One ownership point matters more than the rest. Data Studio data sources run on the owner's credentials by default, and Data Studio gives no warning when a connector stops working. If the Pipedrive login or API token belongs to a contractor or a rep who leaves, the dashboard breaks on their last day.

  • Write down the five or six numbers leadership reviews and the exact definition of each, such as won value by won_time in USD for the new-business pipeline.
  • Choose the route: partner connector for a quick single-account report, Sheets sync for small volumes, BigQuery for history and joins.
  • Connect with a company-owned Pipedrive user and a company Google account, never a personal or freelancer login.
  • Pull only the objects and fields the charts use: deals, stages, pipelines, users and the custom fields you report on.
  • Model one row per deal, with stage names, owner names and converted value, before Data Studio reads it.
  • Reconcile last quarter against Pipedrive Insights with matching filters, and fix differences before sharing.
  • Share the report rather than the data source, and schedule an email delivery before the weekly sales meeting.

When should you hire a consultant for Pipedrive reporting?

Do it yourself if you have one pipeline, one currency and someone comfortable in Data Studio. A free connector tier and an afternoon will get you a working report.

Bring in help when won value will not match Pipedrive, when several pipelines or currencies are involved, when you need stage history or cost per won deal, or when the report has to survive the person who built it leaving. In my projects I start with a free review of your Pipedrive account, the questions the report must answer and any existing dashboards, then quote a fixed price. I build the data model, the dashboard and the reconciliation in your own Google and Pipedrive accounts, and hand over documentation so your team can add pages without me.

FAQ

Frequently asked questions

Is there a native Pipedrive connector for Looker Studio?

No. Looker Studio is now called Data Studio again, and Google's developer forum has confirmed there is no Pipedrive connector. Use a partner connector from the gallery, a Google Sheets sync, a BigQuery or SQL pipeline, or CSV exports.

Can I connect Pipedrive to Data Studio for free?

Yes, with limits. Windsor.ai has a forever free plan for 1 user, 1 data source and 1 account with 30 days of history, and Coupler.io has a free plan with manual refresh and 100 rows per run. A manual CSV export to Google Sheets also costs nothing but goes stale immediately.

Why is my Pipedrive won revenue different in Data Studio?

The usual causes are combining several pipelines, filtering by add_time instead of won_time, summing values in different currencies, or mixing weighted_value with value. Build one table with one row per deal and a converted value, then reconcile against a Pipedrive Insights report with the same filters.

How often does Pipedrive data refresh in Data Studio?

It depends on the route and plan. Entry plans from Windsor.ai and Coupler.io refresh daily, higher tiers refresh hourly, and the top tiers offer 15-minute refresh. A BigQuery pipeline refreshes on whatever schedule you set.

Do people who view the report need a Pipedrive account?

No. With owner's credentials, viewers see data through the owner's connection and only need access to the Data Studio report. Use a company-owned Pipedrive user and Google account as the owner so the report survives staff changes.

Can I combine Pipedrive with Google Ads and GA4 in one dashboard?

Yes. Each source keeps its own connector, and you can blend them on date and a shared campaign or source key, within the 5-source limit for blends. For cost per won deal or revenue by campaign, it is more reliable to join the data in BigQuery or a Sheet first.

What Pipedrive API limits should I know about?

Pipedrive gives each company a daily token budget of 30,000 base tokens times a plan multiplier (1 for Lite up to 7 for Ultimate) times the number of seats, plus burst limits per 2 seconds. Every integration shares that budget, so heavy live reports can slow other tools.
