Zoho CRM to Data Studio: how to connect it, what it costs and how to keep deal numbers right
Getting Zoho CRM to Data Studio always runs through a partner connector, a Google Sheet, a database or a CSV export, because Google has no native Zoho connector. This guide is for sales leaders, founders and operations managers who want deals, leads and revenue from Zoho CRM in one report with ad spend, GA4 or finance data. I compare the four routes with prices checked in November 2026, explain the Zoho API credit and record limits that quietly break live reports, and show the model fixes that make deal totals match Zoho.

Quick answer
How do I connect Zoho CRM to Data Studio?
Data Studio has no native Zoho CRM connector, so you connect through a partner connector such as Windsor.ai or the Jivrus connector, a scheduled sync into Google Sheets such as Coupler.io, a pipeline into BigQuery, or CSV exports. Partner connectors are fastest; a Sheet or BigQuery table gives you stage history, fixed definitions and fewer Zoho API calls.
- Google ships no Zoho CRM connector, so every route uses a partner tool, a Sheet, a database or CSV files.
- Zoho CRM meters its API with a rolling 24-hour credit budget that depends on edition and licence count.
- Zoho's record and field limits per call can silently cut rows or columns from a live report.
- Mismatched deal totals usually trace back to pipelines, stage names, currencies and date fields.
Does Data Studio have a native Zoho CRM connector?
No. Google's native connectors cover its own products and standard databases: GA4, Google Ads, Search Console, Sheets, BigQuery, YouTube, Campaign Manager 360, Display and Video 360, Ad Manager, Cloud SQL, MySQL, PostgreSQL, SQL Server and Redshift. Zoho CRM is not on that list, and the April 2026 rename from Looker Studio back to Data Studio moved existing reports across without adding any CRM connectors.
What does exist is a crowded set of partner connectors. Windsor.ai says its Zoho CRM connector exposes 168 metrics and 720 dimensions. Jivrus Technologies published a Data Studio connector for Zoho CRM on the Zoho Marketplace on January 7, 2026, listed there as free, with no ratings yet when I checked. Coupler.io, CData Connect Cloud and Skyvia offer their own routes, either straight into Data Studio or into a Sheet or warehouse that Data Studio reads.
So the real decision is not whether you can connect, but where the Zoho data should live before a chart touches it. That choice decides your refresh speed, your monthly bill and how often the report breaks.
What are the four ways to get Zoho CRM data into Data Studio?
The four routes trade freshness against control. A live partner connector queries Zoho when the report loads; the other three read a copy of Zoho data that you refresh on a schedule.
A partner connector is added from the Data Studio connector gallery: you authorize your Google account, then your Zoho account, pick a module such as Deals or Leads, and the fields appear in the data source. A Sheets sync writes Zoho modules into a Google Sheet on a timer and you connect the Sheet with Google's native connector. A warehouse route loads Zoho modules into BigQuery or another database through an ETL tool or a script against the Zoho CRM API. A CSV route is a manual export from a Zoho list view or report, uploaded to Sheets.
| Route | Setup effort | Freshness | Best for | Main drawback |
|---|---|---|---|---|
| Partner connector (Windsor.ai, Jivrus, CData) | Under an hour | Live or per vendor schedule | A single Zoho org and standard deal, lead and activity charts | Spends Zoho API credits; vendor controls the field layout |
| Sheets sync (Coupler.io and similar) | One to two hours | Daily or hourly by plan | Small teams with a few thousand records | Sheets slows as rows grow; manual edits break charts |
| BigQuery or SQL database | Several days including modelling | Any schedule you set | Stage history, joins with ads or invoices, multi-year trends | Needs a Cloud project and someone to own the SQL |
| Manual CSV export | Minutes each time | Only when someone exports | A one-off board pack | Stale on arrival; versions drift |
How much does a Zoho CRM to Data Studio connection cost?
For one Zoho CRM org on a daily refresh, expect anything from free to about $32 a month, rising several times over for hourly refresh. The figures below come from each vendor's own pricing page, read in November 2026, and they change, so confirm them before you buy.
Data Studio adds nothing to that bill. Building and viewing reports is free. Data Studio Pro costs $9 per user per project per month and is only worth it if you want team workspaces, organization-owned content, alerts or Slack and Google Chat delivery. Viewers never need a Pro licence, and with owner's credentials they do not need a Zoho CRM seat either.
| Option | Free tier | Paid entry price (November 2026) | Refresh on entry plan |
|---|---|---|---|
| Windsor.ai | Forever free after trial: 1 user, 1 data source, 1 account | Basic: $23 per month, or $19 per month billed annually | Daily; hourly from Standard at $118 per month ($99 annually) |
| Coupler.io | $0: 1 account, manual refresh, 100 rows per run | Starter: $32 per month, or $24 per month billed annually, 5,000 rows per run | Daily; hourly from Pro at $259 per month ($199 annually) |
| Jivrus Zoho CRM connector | Listed as free on the Zoho Marketplace | Check Jivrus's own pricing page for limits | Live queries |
| BigQuery via your own pipeline | BigQuery free tier covers small volumes | Cloud usage plus the build | Your schedule |
| CSV export to Sheets | Free | Staff time per export | Manual |
How do Zoho CRM API credits affect a Data Studio report?
Every connector reads Zoho through its API, and Zoho meters that API with credits over a rolling 24-hour window that starts from each call. The budget belongs to your Zoho organization, so a dashboard competes with your forms, email tools, automations and any other integration for the same credits.
Zoho's API v8 documentation sets the budget by edition. Each paid edition starts at 50,000 credits and adds more per user licence, up to a cap. Most read calls cost 1 credit; a records call filtered by a custom view (the cvid parameter) costs 3; a COQL query costs 1 to 3 depending on its LIMIT; initializing a Bulk Read job costs 50.
A worked example: a Professional org with 10 licences gets 50,000 + (10 x 500) = 55,000 credits per 24 hours. Pulling 20,000 deals at 200 records per call takes 100 calls, which is cheap once a day. A live connector is different, because Data Studio can send a query per chart, per filter change and per viewer. If a six-chart page cost even 100 calls per chart, 50 opens a day would spend 30,000 credits, more than half the budget, before your other tools run. A Free edition org, with 5,000 credits in total, cannot support that pattern at all.
The fix is to stop querying Zoho on every page view. Land the data once on a schedule in a Sheet or BigQuery and point Data Studio at that copy. If you keep a live connector, raise the data freshness interval on the data source, remove charts that duplicate the same query, and watch usage in Zoho's API dashboard, which is also where Zoho lets you raise the credit limit.
| Zoho CRM edition | Credits per 24 hours | Added per user licence | Maximum | Concurrent calls |
|---|---|---|---|---|
| Free | 5,000 | None | 5,000 | 5 |
| Standard / Starter | 50,000 | 250 | 100,000 | 10 |
| Professional | 50,000 | 500 | 3,000,000 | 15 |
| Enterprise / Zoho One | 50,000 | 1,000 | 5,000,000 | 20 |
| Ultimate / CRM Plus | 50,000 | 2,000 | No cap | 25 |
Why are records or fields missing from my Zoho CRM report?
Usually because a Zoho API limit cut the result and the connector did not tell you. Data Studio gives no warning when a source returns partial data, so a report can look complete while missing thousands of rows.
The Zoho CRM Get Records API returns at most 200 records per page. Paging by page number stops at 2,000 records; beyond that a tool must use a page token, which is valid for 24 hours and reaches up to 100,000 records. Each call can name at most 50 fields. COQL, Zoho's SQL-style query language, returns up to 2,000 records per call and 100,000 in total through LIMIT and OFFSET, and it cannot filter on some field types: multi-select lookups, multi-line text, image and file uploads, and quote line items among them. Larger orgs need Zoho's Bulk Read API, which a connector either supports or does not.
Two quicker checks catch the rest. First, data centers: Zoho runs separate regions (zoho.com, zoho.eu, zoho.in, zoho.com.au and others), and a connector has to support yours or authorization fails. Second, permissions: the connector sees only what its Zoho user can see, so a sales rep's login hides other reps' deals.
- Compare the record count in the data source with a Zoho list view using the same filter.
- Look for counts stuck at round numbers such as 200, 2,000 or 100,000.
- Count your report's fields; above 50 per module, check how the connector splits the request.
- Confirm the connecting Zoho user's role and profile can see every record.
- Check the connector lists your Zoho data center.
Why do Zoho CRM deal totals look wrong in Data Studio?
Because Zoho CRM's Deals module carries more structure than a flat table shows. When revenue in Data Studio disagrees with Zoho, the connector is rarely the cause; the report is counting a different set of deals or a different value. Check these in order.
Every fix follows the same rule: decide what one row means, such as one deal or one stage change, build that table once in a Sheet or SQL view, and point every chart at it. Then reconcile last quarter's won amount and count against a Zoho CRM report with the same filters before anyone sees the dashboard.
- Pipelines and layouts: if you run separate pipelines or layouts for new business and renewals, both can have a Closed Won stage. Group or filter by Pipeline or layout.
- Stage names: won and lost are stages in Zoho (Closed Won, Closed Lost and Closed-Lost to Competition by default). Renamed or added stages break a filter on the exact text, so map stages to outcomes with a CASE statement.
- Which date: Closing_Date, Created_Time and Modified_Time answer different questions. Won revenue belongs on Closing_Date of won deals; pipeline creation belongs on Created_Time.
- Amount versus Expected Revenue: Expected Revenue applies stage probability. Mixing it with Amount in one scorecard distorts pipeline value.
- Currency: with multi-currency on, each deal stores its own currency and exchange rate. Convert to one reporting currency before any SUM.
- Owners: many connectors return Owner as an ID or nested object. Flatten it to the user name so charts show reps, not numbers.
- Deleted and converted records: deals in the recycle bin and converted leads are treated differently by each tool, so lead counts often drift from Zoho.
What should a Zoho CRM sales dashboard in Data Studio show?
Start with three pages that answer the questions a sales meeting asks every week: are we on target, where do good deals come from, and what is stuck.
Page one is the forecast: open Amount by stage and closing month, Expected Revenue against target, deals won and lost this period, win rate and average days from Created_Time to Closing_Date. Page two is source quality: leads, deals and won amount by Lead_Source or campaign, next to Google Ads, Meta or LinkedIn spend from their own connectors, so cost per won deal is visible. Page three is activity and hygiene: open deals by owner, deals with a past closing date still open, deals with no update in 30 days, and a deal table that links back to the Zoho record.
For stage history, Zoho keeps a Stage History related list on each deal, but reading it record by record is the pattern that burns API credits fastest. The durable approach is a daily snapshot: a scheduled job writes each open deal's ID, pipeline, stage, owner, amount and closing date into a BigQuery table partitioned by snapshot date. Within weeks you can chart pipeline movement and time in stage without asking Zoho for history again.
Blends in Data Studio allow up to 5 sources and equality joins only. For revenue by campaign, join Zoho deals to ad data on date and a cleaned campaign or source key, or do the join in BigQuery. Projects I've led at Greenwolf Tech Labs include marketing dashboards in Data Studio covering multi-channel spend, leads and return across Google Ads, Meta, LinkedIn, GA4 and Search Console; the CRM is the step that turns those leads into revenue.
Are Zoho CRM's own reports enough, or do you need Data Studio?
If Zoho CRM is your only system and everyone who reads the numbers has a Zoho seat, Zoho's built-in reports and dashboards are often enough, and Zoho sells its own BI product, Zoho Analytics, for deeper work inside the Zoho suite.
Data Studio earns its place when the report must sit beside Google data you already use, such as GA4, Google Ads, Search Console or BigQuery; when readers such as investors, finance or a parent company have no Zoho licence; or when you want definitions and history kept outside the CRM so pipeline changes do not rewrite past numbers. Wanting a different chart style is not a good enough reason on its own, because every route adds a connector, a model and upkeep.
| Your situation | Zoho CRM reports | Data Studio |
|---|---|---|
| Zoho CRM is the only source | Good fit | Optional |
| Need GA4, Google Ads or BigQuery data beside deals | Not designed for it | Good fit |
| Readers without Zoho licences | Limited by Zoho seats and sharing | Good fit with owner's credentials |
| Months of stage history and fixed definitions | Depends on Zoho report types | Good fit with snapshots in BigQuery |
| Free edition org with heavy reporting | Good fit | Use a scheduled copy, not a live connector |
How do you connect Zoho CRM to Data Studio step by step?
The connection takes minutes. These steps decide whether the report still works, and still matches Zoho, a year from now.
Ownership deserves extra care. Data Studio data sources run on the owner's credentials by default, so if the Zoho login or Google account belongs to a contractor or a rep who leaves, the dashboard stops on their last day, with no warning.
- List the five or six numbers leadership reviews and define each one, for example won Amount by Closing_Date in USD for the new-business pipeline.
- Check your Zoho edition, licence count and current API usage so you know your credit budget.
- Choose the route: partner connector for a quick single-org report, Sheets sync for small volumes, BigQuery for history and joins.
- Connect with a company-owned Zoho user whose role sees all records, and a company Google account.
- Pull only the modules and fields the charts use: Deals, Leads, Accounts, Users and the custom fields you report on.
- Model one row per deal with stage outcome, owner name and converted amount before Data Studio reads it.
- Reconcile last quarter against a Zoho CRM report with matching filters and fix every difference.
- Share the report, not the data source, and schedule email delivery before the weekly sales meeting.
When should you hire a consultant for Zoho CRM reporting?
Do it yourself if you have one pipeline, one currency, a few thousand deals and someone at ease in Data Studio. A free connector tier and an afternoon will give you a working report.
Bring in help when totals will not match Zoho, when several pipelines, layouts or currencies are involved, when API credits are running out, when you need stage history or cost per won deal, or when the report must outlive the person who built it. I start with a free review of your Zoho CRM setup, the questions the report must answer and any existing dashboards, then quote a fixed price. I build the data model, the dashboard and the reconciliation in your own Google and Zoho accounts, and hand over documentation so your team can extend it without me.
FAQ
Frequently asked questions
Is there a native Zoho CRM connector for Looker Studio?
No. Looker Studio has been called Data Studio again since April 2026, and its native connectors do not include Zoho CRM. You connect through a partner connector such as Windsor.ai or Jivrus, a Google Sheets sync, a BigQuery pipeline or CSV exports.
Can I connect Zoho CRM to Data Studio for free?
Yes, with limits. The Jivrus Zoho CRM connector is listed as free on the Zoho Marketplace, Windsor.ai has a forever free plan for 1 user, 1 data source and 1 account, and Coupler.io's free plan allows manual refresh of 100 rows per run. A CSV export into Google Sheets also costs nothing but goes stale at once.
Why does my Zoho CRM report stop at 200 or 2,000 records?
Those are Zoho API limits. Get Records returns 200 records per page and page-number paging stops at 2,000, so a tool must use a page token to reach up to 100,000 records, or the Bulk Read API beyond that. If your counts sit on those round numbers, the connector is not paging fully.
How many Zoho CRM API credits does a dashboard use?
It depends on how the connector queries Zoho. A daily scheduled pull of 20,000 deals at 200 per call uses about 100 credits, while a live connector can query per chart, per filter and per viewer and spend thousands a day. Paid editions start at 50,000 credits per rolling 24 hours plus an amount per licence.
Why is Zoho CRM revenue different in Data Studio?
The usual causes are mixing pipelines or layouts, filtering on a stage name that was renamed, using Created_Time instead of Closing_Date, summing deals in different currencies, or mixing Expected Revenue with Amount. Build one table with one row per deal and a converted amount, then reconcile against a Zoho report with the same filters.
Do report viewers need a Zoho CRM licence?
No. With owner's credentials, viewers see data through the owner's connection and only need access to the Data Studio report. Make the owner a company-owned Zoho user and Google account so the report survives staff changes.
Can I combine Zoho CRM with Google Ads and GA4 in one dashboard?
Yes. Each source keeps its own connector, and you can blend them on date and a shared campaign or source key, within the 5-source limit for blends. For cost per won deal, joining the data in BigQuery or a Sheet first is more reliable.
